## Supplier payments are where the fraud goes.

> Invoices are in Quickbooks, emails are in Outlook, proposals live in Sharepoint, contracts live in Netsuite, and so on. There is no shared namespace to access all this data across the business.

So no, a smarter OCR alone won’t fix this. The matching rules do.

## Give Finance the differences that matter.

An invoice arrives as a PDF or a scan. The article list and the agreed prices live in the ERP. Someone sits between the two, retyping lines and chasing anything unfamiliar, and the routine lines arrive in the same pile as the difficult ones.

Most of that pile needs rules, and a small part needs a person. [Annelies Gamble](https://x.com/AnneliesGamble/status/2069814714214023186), a partner at Zetta Venture Partners, draws the line in her June 2026 essay on agent deployments. “Deterministic automation is for rules,” she writes, with routing an invoice as her example. “Humans are for accountability, ambiguity, and trust.” We build to that split. Matching lines post under the rules you approve. A price difference or an unknown item goes to a review queue with both records side by side and the reason it was flagged, so Finance spends its time on decisions instead of retyping.

Invoice to ERP builds on your [company brain](https://vandam.ai/company-brain): each invoice is checked against the agreements and price lists kept in it.

## From supplier document to accounting record.

1. Read your actual invoices: We configure the document reading around PDFs and scans from your suppliers. Article references, quantities and prices keep their source location so the team can check an extracted field. INV-20931.pdf · fields read - **Supplier**

- **Total**
  $1,008.00
2. Match and show exceptions: We compare the lines with your supplier records and price agreements. Unknown items and differences enter a review queue with both records visible and a clear reason for the check. Review queue · 1 of 4 Invoice Price agreement - BX-440 carton BX-440 carton

3. Connect the approved posting: We connect the system to your ERP under the agreed approval rules. Your team receives editable matching rules and a way to monitor changes, quantity differences and duplicate documents. Posted to ERP today - 86 invoices matched and postedauto

## Live in three weeks. Looked after every month.

You own the rules, the code and the connection. New suppliers, new document layouts and price changes keep arriving, so after go-live we can stay on for a monthly fee.

- Hosting: We run the document reading, the matching and the ERP connection, on your infrastructure or ours.
- New suppliers: New suppliers and document layouts set up as they arrive, so they match from their first invoice.
- Rule review: A monthly look at what reached the queue, and which corrections should become rules.
- Check-ins: A monthly session with Finance on match rates, open exceptions and what to automate next.

- Document extraction: Configured for your supplier documents.
- Matching rules: Your suppliers, article codes and prices, editable by your team.
- Review queue: Exceptions with the source and reason shown together.
- ERP connection: Posting into the system you already use.

An indication from past projects. The final price can move a little with the size and complexity of your company, and we agree it in writing before we start.

For finance and operations teams at multi-site businesses. Useful when invoices are retyped or checked against separate price sheets.

## Before you ask.

### Does it post anything without approval?

Only lines that match your records within the tolerances you set. Everything else waits in the review queue for a person.

### Which ERP systems does it work with?

Systems with an API or an import format. We confirm the connection for your ERP before the project starts.

### What happens with scanned or handwritten invoices?

Scans are read like PDFs. Fields the system cannot read with confidence go to the queue with the original image next to them.

### Can Finance change the rules themselves?

Yes. Rules are written in plain words and every change is logged with who made it.
